As Major League Quidditch continues to grow, it is necessary to make structural changes to better accommodate the needs of our ever-growing association. With this in mind, we have retooled our Events Department to help foster its success going forward.

The department will be broken into four sub-departments: community outreach, championship, regular season and league travel. Each department coordinator will report directly to the MLQ Events Director as demonstrated in the below structure.

Community outreach will be responsible for seeking out and coordinating localized community outreach opportunities. Championship and regular season will be dedicated to the league’s end of season championship tournament and the planning of regular season series, respectively. Lastly, league travel has been added to assist teams in travel coordination and the process of seeking out transportation and hotel discounts.

EVENTS DIRECTOR

The MLQ Events Director will oversee the MLQ Events Department and report directly to Commissioners Amanda Dallas and Ethan Sturm. The events director will be responsible for hiring, training and educating events staff to ensure deadlines are consistently met and MLQ is fully prepared for each and every event.

General Responsibilities

  • Oversee and manage all MLQ Events Department staff.
  • Work with MLQ events coordinators to maintain the MLQ Events Manual and uphold MLQ standards and policies.
  • Create and maintain the MLQ Events Calendar.
  • Create and maintain the MLQ Events Department budget.
  • Take the lead on the MLQ Championship bids process.
    • Update and maintain the bid manual.
    • Reach out to and communicate with city staff.
    • Negotiate bid packages.
    • Visit bid finalists in the spring as necessary.
    • Act as the liaison between MLQ and the MLQ Championship host city.
  • Create and maintain a file of all MLQ Events Department receipts.
  • Book venues and negotiate fees, if applicable.
  • Prepare invitations and send out at appropriate time, if applicable.
  • Drive attendance to MLQ events by working with the MLQ Marketing Director, MLQ Social Media Editor and relevant events staff.
  • Analyze event performance and prepare metrics presentation.
  • Define company brand through events.
  • Ensure day of event goes smoothly and assist relevant MLQ Events Department members as necessary.

MLQ departmental directors are not permitted to hold a leadership position (including but not limited to manager, coach, assistant coach, captain, assistant captain) on an MLQ team.

COMMUNITY OUTREACH COORDINATOR

The primary goal of the MLQ Community Outreach Coordinator is to connect MLQ players with their local community. The MLQ Community Outreach Coordinator will be responsible for seeking out and coordinating localized community outreach opportunities for MLQ teams. Some examples of these events would be kidditch demos, guest appearances Harry Potter book launches, camp workshops etc.

General Responsibilities

  • Seek out and coordinate localized community outreach opportunities for teams and the league.
  • Develop pathways to educate and inform communities about quidditch.
  • Gather useful statistics on attendance at events to establish baseline numbers and to track improvements.
  • Working with MLQ Marketing Department to develop printed materials needed to promote community events.
  • Network and establish relationships with community groups, schools, summer camps, Harry Potter groups and city organizations in order to support MLQ efforts in localized areas.
  • Coordinate and promote off-season quidditch clinics.
  • Attend and/or speak at outreach events within your area.
  • Organize additional special events and fundraisers as directed by MLQ Events Director.

TOURNAMENT COORDINATOR

The MLQ Tournament Coordinator will be responsible for coordinating the annual MLQ Championship Weekend from the initial planning stages until the completion, including any required post-event wrap up and debriefs. The tournament coordinator will be responsible for making initial, intermediate and final calls with the host city in order to plan the headlining event.

General Responsibilities

  • Work with the MLQ Gameplay Director and other necessary parties to create and maintain the Championship Weekend schedule.
  • Alert relevant staff of the weekend’s activities and help to coordinate all necessary staffing levels and duties.
  • Perform any other tasks requested by the MLQ Events Directors and MLQ Commissioners.
  • Develop and maintain contacts (new groups, previous groups, local businesses, civic organizations and charity groups) relevant to MLQ Championship Weekend.
  • Maintain accurate records for MLQ Championship Weekend.
  • Coordinate inter-departmental support for MLQ Championship Weekend.
  • Work with the MLQ Marketing Department to promote MLQ Championship Weekend.
  • Prepare and distribute information pertaining to MLQ Championship Weekend, including but not limited to critical dates to staff, players, group, and spectators.
  • Assist with the check-in of players at MLQ Championship Weekend.
  • Responsible for assisting in the process of interviewing, hiring, training, planning, assigning and directing work, evaluating performance, rewarding and disciplining assigned associates, addressing complaints and resolving problems.
  • Manage department members that may include, but are not limited to: MLQ Hospitality Lead, MLQ Logistics Lead and MLQ Volunteer Lead.
  • Working with the appropriate parties to monitor business volume forecast and plan accordingly in areas of manpower, productivity, costs and other expenses.
  • Perform other duties as required.

LOGISTICS LEAD

The MLQ Logistics Lead will be responsible for securing, setting up and storing all tangible equipment necessary for the MLQ Championship Weekend, including field equipment, film/media equipment, staff equipment and various other tournament needs. The MLQ Logistics Lead will manage a sizeable budget, maintain regular contact with other MLQ and Championship staff and interface with vendors to ensure that the tournament has everything necessary to run smoothly. The MLQ Logistics Lead will report to MLQ Tournament Coordinator.

General Responsibilities

  • Secure all necessary game equipment (hoops, balls, brooms etc.).
  • Secure all necessary film media and recording equipment (cameras, chargers etc.).
  • Secure all necessary spectator equipment (chairs, tables, shade structures etc.).
  • Secure all necessary staff equipment (radios, PA system, check-in materials etc.).
  • Manage a sizeable budget for the procurement of equipment.
  • Manage event set-up, teardown and equipment storage.
  • Coordinate operation of city-owned equipment on the day of the event.

HOSPITALITY LEAD

The MLQ Hospitality Lead is responsible for the guest experience at the MLQ Championship, including players, spectators and volunteers. The MLQ Hospitality Lead will recruit and manage a team of volunteers, interact directly with vendors and partners in the hospitality industry, and develop programs and services for players, fans and volunteers to most enjoy their experience. The MLQ Hospitality Lead will report to the MLQ Tournament Coordinator.

General Responsibilities

  • Team services: Prepare teams for the 2016 MLQ Championship, distribute information and answer questions.
  • Guest relations: Manage the Guest Relations booth at the MLQ Championship, distribute information pamphlets and explain the sport to new spectators.
  • VIP services: Develope our VIP experience and ensure that VIP guests are enjoying the event.
  • Restaurant and food vendors: Work with the MLQ Partnership Coordinator to help distribute discounts on food for players and volunteers.
  • Afterparty: Plan the post-tournament celebration.

Experience

VOLUNTEER LEAD

The MLQ Volunteer Lead will be responsible for managing the day-of event volunteers across all departments. The MLQ Volunteer Lead will recruit volunteers, develop the volunteer schedule and maintain communication with our volunteer force for MLQ Championship Weekend. The MLQ Volunteer Lead will report to the MLQ Tournament Coordinator.

General Responsibilities

  • Assess volunteer needs for MLQ Championship Weekend.
  • Compose listings for and recruit volunteers for MLQ Championship Weekend.
  • Maintain record of all volunteer applicants.
  • Assign volunteer responsibilities across multiple facets of the event.
  • Create and maintain volunteer schedule for MLQ Championship Weekend.
  • Manage and serve as the primary point of contact for volunteers before, during and immediately following MLQ Championship Weekend.
  • Provide direct oversight to field managers during MLQ Championship Weekend.

SERIES COORDINATOR

The position of the MLQ Series Coordinator is designed to provide logistical support in line with the operational requirements of each MLQ regular-season series. The series coordinator will be directly responsible for the initial coordination of each MLQ regular-season series and working with the MLQ Manager Relations Coordinator and MLQ Team Managers to ensure each series is a success. The MLQ Series Coordinator will report directly to the MLQ Events Director.

General Responsibilities

  • Take a leading role in the coordination of all MLQ regular-season series.
  • Liaise with the MLQ Manager Relations Coordinator and MLQ Team Managers to ensure the following:
    • All series are coordinated to the standards expected by MLQ.
    • All equipment belonging to MLQ is returned at the end of each season to appropriate parties.
    • All scorecards are scanned and filed within 48 hours of a series.
    • All footage is submitted to MLQ Video within 48 hours of a series.
  • Create and maintain the regular-season gameplay schedule and volunteer assignments based on communication with MLQ officials coordinators.
  • Review and approve or deny all regular-season schedule waivers.
  • Assist Team Managers in the choosing of series fields/venues.
  • Work alongside the MLQ Events Director and MLQ Gameplay Director in the continued development of the policies and procedures specific to series hosting, thus maintaining and enhancing the professional nature of events.
  • Liaise with the MLQ social media team and web administrator to ensure that all series results are posted to mlquidditch.com.
  • Set deadlines and follow up with the MLQ Gameplay Department regarding volunteers for each series. It is ultimately the responsibility of the MLQ Series Coordinator to ensure all volunteers are assigned properly and aware of their assignments.
  • Work with the MLQ Manager Relations Coordinator to develop and promote hosting workshops and materials designed to train volunteers.

LEAGUE TRAVEL COORDINATOR

The MLQ League Travel Coordinator is one of the faces of MLQ and will report to the MLQ Events Director. You will work closely with MLQ Team Managers to provide the ideal travel solutions to fit their team’s needs. You will assist teams by providing them knowledge of their areas of travel; provide a variety of hotel and transportation solutions; develop long-term relationships with companies and teams; and provide the ultimate customer service experience for every team.

General Responsibilities

  • Works directly with the MLQ Tournament Coordinator and MLQ Team Managers to coordinate room blocks for MLQ Championship Weekend.
  • Works directly with team managers to coordinate housing for MLQ series.
  • Negotiates deals with hotels, rental car agencies, airlines, etc.
  • Manages all communication with hotel partners.
  • Enforce the MLQ Stay and Play Policy.
  • Manage group block requests for designated events, prepares all event documentation and coordinates with hotel contracting department. Interacts with hotel properties (when needed) and positively works with team manager/leader as the single point of contact to ensure consistent, high-level service throughout the pre-event, event and post-event phases.
  • Develop parking plan for the MLQ Championship and distribute transportation discounts to players and volunteers.
  • Make and answer a high volume of calls and maintain a rapid response rate according to agreed standards. Log information on calls received, where required and maintains detailed and accurate records.
  • Solve problems and/or suggest alternatives to previous arrangements if necessary.
  • Identifies operational challenges and works with the property staff and customer to solve these challenges and/or develop alternative solutions.
  • Communicate and liaise verbally and in writing between customers/suppliers/visitors/enquirers and relevant staff, and interpret and respond clearly and effectively to spoken requests over the phone or in person, and to verbal or written instructions.
  • Establish and maintain effective working relationships.
