As Major League Quidditch continues to grow, it is necessary to make changes to better accommodate the needs of our ever-growing association. With this in mind, we have restructured our Finance Department to help foster its success moving forward.

The department will be broken into three sub-departments: general accounts; planning and budgeting; and accounting. Each department coordinator will report directly to the MLQ Finance Director as demonstrated in the below structure.

General accounts will be responsible for seeking out, developing and maintaining partnership opportunities and like programs. Planning and budgeting will be dedicated to the creation and maintenance of financial plans and budgets for the league. Lastly, accounting will work in tandem with the MLQ FIannce Director to handle the primary MLQ account and all funds.

FINANCE DIRECTOR

The MLQ Finance Director will report to Commissioners Ethan Sturm and Amanda Dallas. This individual will be responsible for overseeing the MLQ Finance Department and contributing to the overall success of the league by effectively managing the financial facets of the organization’s financial tasks. The ideal candidate will be someone who can maintain a broad vision and understands or has the ability to learn to understand how the organization operates financially.

General Responsibilities

  • Design and oversee MLQ’s financial reporting processes.
  • Work with MLQ Finance Department staff to develop and maintain financial accounting systems for cash management, accounts payable, accounts receivable, credit control and petty cash.
  • Create and review seasonal results and report back to the MLQ Board of Directors and MLQ Management with findings.
  • Develop and implement policies and procedures to ensure that personnel and financial information is securely stored.

Experience

  • Pursual of or a degree in Finance or Accounting strongly preferred, but not required.

Additional Requirements

  • Knowledge of generally accepted finance and accounting principles.
  • Knowledge of Microsoft Excel and Google spreadsheets.
  • Ability to understand and effectively carry out oral and written instructions.
  • Ability to establish and maintain effective working relationships with other employees, department personnel and the public, and to deal with them in a courteous and tactful manner.
  • Understand ethical behavior and business practices and ensure own behaviour and the behaviour of others is consistent with these standards and aligns with the values of the organization.
  • Must have a high school diploma or equivalent.

MLQ departmental directors are not permitted to hold a leadership position (including but not limited to manager, coach, assistant coach, captain, assistant captain) on an MLQ team.


ACCOUNTANT

The MLQ Accountant will report to the MLQ Finance Director. This individual will be responsible for effectively managing MLQ accounting.

General Responsibilities

  • Develop and maintain timely and accurate financial statements as directed by the MLQ Finance Director.
  • Document and maintain complete and accurate supporting information for all financial transactions.
  • Work with the MLQ Finance Director to develop and maintain financial accounting systems for cash management, accounts payable, accounts receivable, credit control and petty cash.
  • Reconcile bank and investment accounts.
  • Review seasonal results and report back to the MLQ Board of Directors and MLQ Management with findings.
  • Manage the cash flow and prepare cash flow forecasts.
  • Oversee the bookkeeping function.
  • Oversee all payroll functions to ensure that employees are paid in a timely and accurate manner.

Experience

  • Pursual of or a degree in Finance or Accounting strongly preferred, but not required.
  • Experience creating invoices and managing financial transactions.
  • Proven ability to create and manager budget.

Additional Requirements

  • Knowledge of generally accepted accounting principles.
  • Knowledge of Google spreadsheets.
  • Strong oral communication skills.
  • Ability to understand and effectively carry out oral and written instructions.

GENERAL ACCOUNTS COORDINATOR

The MLQ General Accounts Coordinator is responsible for building engaging and sustainable partnership accounts in conjunction with the MLQ Partnership Accounts Managers and the MLQ Athlete Advancement Program Manager. This position focuses on building successful relationships with multiple companies and donors in an effort to maximize the support given to our member teams. The MLQ General Accounts Coordinator will report directly to the MLQ Finance Director.

General Responsibilities

  • Work with the MLQ Partnership Accounts Managers and the MLQ Athlete Advancement Program Manager to strategize, set, communicate and implement plans and goals related to garnering partners and donors each season.
  • Nurture partnerships with current funders.
  • Strategize and pitch customized partnership opportunities to major partners.
  • Attend partner events.
  • Research potential funders for MLQ Partnership Accounts Managers to contact.
  • Create and maintain an internal directory of all standing MLQ partners and potential MLQ partners.
  • Write acknowledgement letters as needed.
  • Produce briefing materials, proposals and solicitation letters as needed.
  • Keep abreast on giving trends and key donors in the sport.

Experience

  • History of growing relationships, particularly in the fundraising sector.
  • Experience negotiating sales, recommitments or other revenue-generating activities.
  • Demonstrated willingness to work in a collaborative, team-based environment.
  • Experience in grant or proposal writing a plus but not required.

Additional Requirements

  • Strong networking and relationship management skills.
  • Excellent time management skills, ability to meet deadlines and abilities to parse large projects into small, achievable goals.
  • Knowledge of digital marketing.

PARTNERSHIP ACCOUNT MANAGERS

An MLQ Partnership Account Manager will create and oversee the strategy and execution of partnerships throughout the entire sales process lifecycle of successful relationships. This position focuses on building successful relationships with multiple companies and will ultimately take the lead on the lifecycle of the assigned partnership accounts, including form submission and renewal processes. The MLQ Partnership Account Managers will report to the MLQ General Accounts Coordinator.

General Responsibilities

  • Identify and solicit individual and corporate partner prospects.
  • Act as a liaison, interacting and managing assigned official partnerships and working to uncover additional opportunities to generate revenue.
  • Collaborate with marketing and finance departments to activate and monetize full value of partnerships.
  • Manage the partnership renewal process in tandem with our seasonal schedule
  • Develop sales and partnership proposals/presentations to secure new business and event partnerships.
  • Maintain a calendar tracking communications and fulfillment.

Experience

  • Experience creating digital partnership proposals.
  • Proven track record of securing partnerships for a club, team or company.

MLQ ATHLETE ADVANCEMENT PROGRAM MANAGER

The MLQ Athlete Advancement Program Manager will oversee the strategy and execution of the MLQ Athlete Advance Program. This position focuses on building successful relationships with players and potential supporters. They will take the lead on the lifecycle of the program each season, including but not limited to collaborating with managers to select candidates; advertisement and outreach for the program; and distributing funds to athletes. The MLQ Athlete Advancement Program Manager will report to the MLQ General Accounts Coordinator.

General Responsibilities

  • Manage the MLQ Athlete Advancement Program in tandem with our seasonal schedule.
  • Identify and solicit individual and corporate supporter prospects.
  • Act as a liaison between the athletes and their supporters, including reaching out to former donors.
  • Collaborate with marketing and finance departments to help players get the best support possible.
  • Develop proposals/presentations to secure new supporters.
  • Maintain a calendar tracking communications and fulfillment.

Experience

  • Proven track record of securing partnerships and/or supporters for a club, team or company.
  • Experience creating digital partnership proposals.

PLANNING AND BUDGETING COORDINATOR

The MLQ Planning and Budgeting Coordinator will report to the MLQ Finance Director. They will be responsible for preparing the annual budget, in conjunction with the various MLQ department directors, and following up on its implementation after it has been duly approved.

General Responsibilities

  • Establish guidelines for budget and forecast preparation.
  • Prepare the annual budget in consultation with the MLQ Board of Directors and MLQ Management.
  • Prepare the MLQ Championship budget in consultation with the MLQ Events Director.
  • Maximize income and cut costs where possible and appropriate.

Experience

  • Pursual of or a degree in Finance strongly preferred, but not required.
  • Proven ability to create and manage a budget.
